What can I expect to do in this role?
In this role you will provide the following secretarial and administrative support services to the school Principal and support the delivery of the education programs and services at the Ernest C. Drury School for the Deaf, Secondary Program.
You will:
• Review all incoming mail directed to the Principal and assess its urgency
• Prepare a variety of documentation
• Take minutes/notes
• Answer calls/greet visitors/respond to general inquiries
• Arrange for travel/meetings/events
• Manage schedules/calendars
• Establish/maintain filing/correspondence/bring forward system
• Maintain and order supplies as required
• Undertake various other clerical and administrative tasks as assigned
How do I qualify?
Knowledge
You have:
• Advanced administrative/secretarial experience;
• Demonstrated knowledge of office practices and administrative procedures;
• Proficiency in preparing, formatting and coordinating a range of correspondence and documents;
• Knowledge of office equipment including photocopiers and facsimile machines.
Technical Skills
You have:
• Experience and proficiency using various software programs, including word processing, presentation, spreadsheet and database software;
• Demonstrated experience using personal computers and software applications to prepare correspondence, presentations, spreadsheets, databases, Microsoft Outlook and other standard software applications.
Organizational, Reasoning and Problem Solving Skills
You have:
• Organizational, time management and administrative skills to organize high volume of administrative and secretarial services, to set priorities and meet deadlines, to ensure a coordinated and efficient flow of information within office, program and school areas;
• Reasoning skills to determine what matters should be given priority when performing a variety of different administrative tasks with conflicting deadlines;
• Reasoning and problem solving skills to determine appropriate action for sensitive inquiries.
Communication and Customer Service Skills
You have:
• Excellent language skills including fluency in American Sign Language (ASL) and Deaf culture including receptive and expressive skills, and spoken English;
• Ability to provide information to clients in a courteous and professional manner;
• Proven written communication skills to draft letters and memos.
