Purpose of Position :

To prepare in whole or in part, volume mailings for client ministries on an individual job basis.

Duties / Responsibilities :

1. Review work sheet document which outlines details of work to be done. Following instructions on procedural changes such as changing job production sheet requirements.

2. Ensure correct material and quantity is on hand (envelopes, inserts, postage meter slug) to perform the job.

3. Check condition of high-speed Large-volume machinery (eg: for folding, stuffing, labelling) to ensure it is safe and operable for the task. Set up and make adjustments to and test equipment settings to meet the needs of each run and advise supervisor of operating problems. Setting-up and adjusting machines used in mass mailing for various applications (eg: folding, inserting, metering). Reporting unusual processing conditions/machine malfunctions to supervisor. Carrying out minor maintenance or repairs.

4. Set-up and operate mail folding / inserting! sealing! labelling machines. Ensure machinery will detect duplicate folds! insertions. Monitoring machinery operation and clearing misfeeds, filling hoppers to ensure that job is accurate, complete and timely. Following established detailed procedures and regulations for operating mail processing equipment, e.g. mass mailings require folding, inserting, sealing; mail must be properly weighed and postage meters set-up correctly: machinery must be operated safely. Setting up and operating high-speed high-volume mail processing equipment (bursting, folding, inserting, sealing, labelling, metering) when preparing outgoing mail.

5. Record work data on computer or manual production sheets (eg: start-finish time, client, quantity processed, etc) for each job. Recording production information and postage costs which are usually in the high thousands of dollars.

6. Assist in other mail processing duties to meet deadlines or deal with work overloads. Organizing own priorities to ensure prompt and efficient machinery operations to process outgoing mail and parcels. Lifting and carrying boxes of mail and parcels safely and sorting outgoing/incoming mail when providing assistance to meet heavy mail sorting demands. Sorting envelopes while machine inserting is in process and sorting trays for postal station delivery order.

Knowledge :

1. Operation of electronic/mechanical mail handling equipment through formal training in order to perform machine set-ups for applications such as folding, inserting, labelling, weighing, setting postage rates and operating metering equipment.
2. Completion of job production sheets.
3. Canada Post mailing rates and standards.
4. Mail identification and sorting in order to sort outgoing mail by class and by destination in accordance with letter carrier pre-sort and national distribution guidelines of the Canada Post Corporation and be able to select the lowest postage rate for the job.
5. Ability to organize own priorities to ensure prompt and efficient machinery operations to process outgoing mail and parcels. Job requires meeting strict deadlines.
6. Ability to do daily lifting, bending and stretching while handling mail trays, bags, parcels and boxes weighing up to 60 lbs when carrying or moving them to and from various locations.
7. Ability to withstand frequent exposure to the noise of mail processing equipment when performing duties.

Skills :

Analytical Skills required:
1. to determine which supplies are required.
2. to select appropriate machine set-ups so that mail is properly folded, inserted into envelopes, labelled, sealed, weighed and metered.
3. to sort mail to correct destinations using Canada Post's Letter Carrier Presort guidelines. These guidelines change quarterly.
4. to effectively decide the lowest cost method of delivery to use — Canada Post, GO products, or Purolator.
5. to match multiple names to roll numbers for property tax assessments and employer health tax statements.

Oral Skills required:
1. to deal courteously with co-workers in person when providing factual information such as machinery capacities and problems, job
status.
2. to understand and communicate with clients in order to handle requests or complaints.
3. To follow straightforward oral instructions from the supervisor on matters such as which job priority, changes in procedures.

Written communication skills required: to complete job production forms.
