What can I expect to do in this role?
Reporting to the Program Manager, Voting Automation, you will:
• Manage communications to Steering Committee stakeholders and Ready Now Committee
• Develop and maintain processes, procedures, tools and materials to support Project Managers in completing all aspects of the TiP program.
• Performs research working with project managers and business operational managers to draft decision notes for Steering Committee.
• Lead the planning and coordination of TiP Demos for internal and external stakeholders
• Manage budget, track and reconciliation of the program budget and forecasting using financial systems and other tools;
• Monitor program performance, prepare reports and dashboards on performance indicators
• Develop, coordinate and keep up-to-date related documentation, associated budgets and timelines across all projects within the program;
• Review, track and follow-up on action items and decisions on the program log;
• Prepare and deliver presentations to stakeholder teams as required;
• Prepare, maintain and distribute project-related documentation including agendas, minutes, status reports and third party contracts;
• Collaborate with other coordinators and project managers to manage cross-project dependencies.
How do I qualify?
Qualifications
• Demonstrated experience working in a coordination role with project teams/project managers.
• Strong organizational, planning, coordination and multi-tasking skills;
• Experience with maintaining and reconciling budgets using financial reporting tools;
• Advanced skills in office software such as MS Project, PowerPoint and Excel, MS Word and MS Visio.
• Experience coordinating or managing large or complex projects;
• Knowledge of project management methodologies, techniques and tools;
• Demonstrated skills in taking initiative to anticipate the needs of the program;
• Ability to be flexible with changing demands while maintaining accuracy in dealing with complex project data;
• Excellent interpersonal skills, oral and written communication skills;
• Understanding of the requirements and provisions of the Election Act and the Accessibility for Ontarians with Disabilities Act (AODA) relating to electoral event delivery.
Must be legally entitled to work in Canada.
