The Ministry of Nature Resources Tenure Implementation Branch is seeking a driven and confident Administrative Assistant to join their growing team.

On a day-to-day basis you will be performing administrative duties and financial responsibilities to support the provincial group as well as the Tenure Implementation team.

About the job

In this role, you will:

• provide clerical, administrative support and financial support
• provide information and guidance to staff on program planning, allocation management, accounting requirements and time schedules
• participate in monthly budget preparation and financial year-end reviews
• maintain databases, spreadsheets and reports
• participate with team in the development of the forest tenure project
• other duties will be assigned on a regular basis to cover staff absences and peak workload periods

What you bring to the team


Administrative and accounting knowledge:

• knowledge of administrative and clerical procedures and processes
• knowledge of filing systems to organize and maintain program information and files
• knowledge of general accounting principles and processes to track and report on budget information, verify budgets and expenditure coding, identify variances and recommend improvements
• knowledge of and proficiency with computer programs, databases and software such as Microsoft Office Suites (Word, Excel, Access, Outlook, etc.) and the internet

Analytical and mathematical skills:

• demonstrated analytical skills to review and verify budgets and reports for discrepancies and balance allocations for budgets and year end reviews
• ability to input data and information accurately into budgets and databases
• strong mathematical skills to calculate and forecast expenditures and to ensure correct budget calculations

Interpersonal and communication skills

• well developed interpersonal skills to deal effectively with clients both internally and externally
• proven oral communication skills to assist in drafting project specific procedures, instructions, letters, charts and tables as well to work in a team and provide training to staff
• written communication skills to draft correspondence, write reports, and revise procedures/instructions

Organizational skills:

• strong prioritization skills to deal with competing work demands and deadlines
• multi-tasking skills to deal with requests from around the Province
• organizational skills to track, collect and forecast expenditures, verify calculations and track project requirements and spending
