The W. Ross Macdonald School for the Blind is a community-based school for students who are blind, low-vision and/or deafblind, under the Ministry of Education, Provincial and Demonstration Schools Branch with the tradition and reputation for meeting the academic, personal, social, emotional and developmental needs of the individual children.

Join the team that's making a difference in the lives of Ontario's children and youth. The Ministry of Education, W. Ross Macdonald School for the Blind in Brantford has an exciting opportunity for an experienced School/Resource Secretary in the Deaf-Blind school and resource programs.

What can I expect to do in this role?

In this role you will provide the following secretarial and administrative support services to the school Principal and support the delivery of the education programs and services and the W. Ross Macdonald School for the Blind in the Deaf-Blind school and resource programs.

You will:
•Prepare a variety of documentation;
•Take minutes/notes;
•Answer calls/greet visitors/respond to general inquiries;
•Arrange for meetings;
•Manage schedules/calendars;
•Establish/maintain filing/correspondence/bring forward system;
•Maintain and order supplies as required;
•Undertake various other clerical and administrative tasks as assigned;
•Update and Maintain education specific database;
•Perform Ontario Student Record Maintenance;
•Lead Event Planning and Coordination;
•Possess knowledge of school operation;
•Prepare Reports and deliver in alternative formats as necessary;
•Field public inquiries;
•Work collaboratively in a team-based environment.

How do I qualify?

Knowledge:

You have:
•Advanced administrative/secretarial experience;
•Demonstrated knowledge of office practices and administrative procedures;
•Experience and proficiency using various software programs, including word processing, presentation, spreadsheet and database software;
•Ability to acquire knowledge of database systems used in the education sector;
•Proficiency preparing, formatting and coordinating a range of correspondence and documents;
•Knowledge of office equipment including photocopiers and facsimile machines.

Technical Skills:

You have:
•Demonstrated experience using personal computers and software applications to prepare correspondence, presentations, spreadsheets, databases, Microsoft Outlook and other standard software applications;
•Demonstrated experience using office equipment.

Organizational, Reasoning and Problem Solving Skills:

You have:
•Organizational, time management and administrative skills to organize high volume of administrative and secretarial services, to set priorities and meet deadlines, to ensure a coordinated and efficient flow of information within office, program and school areas;
•Reasoning skills to determine what matters should be given priority when performing a variety of different administrative tasks with conflicting deadlines;
•Reasoning and problem solving skills to determine appropriate action for sensitive inquiries.

Communication and Customer Service Skills:

You have:
•Proven verbal communication and interpersonal skills to communicate with and provide information to clients in a courteous and professional manner, on the telephone and in person;
•Proven written communication skills to draft letters and memos.
