The Criminal Law Division is a large geographically dispersed operation with approximately 1500 staff that helps protect community and personal safety through prosecution of offences across the province. The division's vision is to be the foremost prosecution service in Canada, and this vision is supported through the divisional mission, values, and key strategies.
What can I expect to do in this role?
In this position, you will:
• provide a full range of administrative secretarial services
• utilize a personal computer to transcribe a variety of documents in proper legal style
• accept service on various documents
• maintain Ontario and Superior Court files
• type Ontario and Superior Court subpoenas
• provide reception duties by answering the telephone and dealing with inquiries at the counter
• provide a variety of clerical services
• attend court when and as required to update briefs
How do I qualify?
Mandatory:
• You are able to type 50 words per minute and are able to achieve 70% in a series of tests for spelling, word usage and sentence recognition
Legal Knowledge
• You are able to apply relevant statutes, rules, regulations, policies and practices such as Rules of Criminal Procedure, knowledge of legal office, criminal prosecution programs, and court procedures to prepare for proceedings, distribute and track disclosures, and answer telephone and counter inquiries
• You have knowledge of legal terminology to prepare legal documents, explain procedures and compose from verbal instructions
Secretarial and Administrative Skills
• You demonstrate secretarial and administrative experience including thorough knowledge of office procedures (example: updating files, arranging resolution meetings, completing travel arrangements, ordering transcripts, arranging the use of part-time Crowns and interpreters, purchasing goods and services, processing payments)
• You have knowledge of basic accounting practices to calculate and process travel claims, invoices, and expense documents
• You demonstrate the ability to use office and computer equipment with related software such as Windows, Word, Outlook, Excel, ADOBE Acrobat and related database applications
• You have the ability to use AV/IT equipment for presentations
Communication, Interpersonal and Customer Service Skills
• You have excellent oral and written communication skills to provide information to police, victims/witnesses, media, court staff and the general public
• You can prepare legal documents, compose materials from own knowledge and sign correspondence (example: letters of acknowledgement, covering letters, reports and documents)
• You demonstrate interpersonal skills to work effectively as a team member or independently with minimal supervision
• You demonstrate customer service skills when answering phones, screening and directing callers, taking messages, responding to inquiries at the counter, and explaining procedures
Organizational, Analytical and Judgement Skills
• You demonstrate organizational skills and initiative in prioritizing own workload and ensure deadlines and timeframes are met
• You demonstrate judgment and analytical skills in determining /selecting appropriate administrative procedures and processes when preparing for proceedings, typing legal documents and responding to inquiries involving explanation of procedures
• You have the ability to determine confidentiality of privileged information
Please note: • The number of positions to be filled at each location has not been identified at this time. However, this talent pool will be used to create an eligibility list to fill upcoming opportunities of Legal Administrative Secretary at any of the above locations within the next 18 months.
