The Ministry of the Attorney General, Court Services Division is looking for a highly organized individual to plan and coordinate educational conferences for the Office of the Chief Justice, Ontario Court of Justice, as part of the judicial education programs.

What can I expect to do in this role?

As the Judicial Education and Training Assistant you will:
• provide administrative, organizational and conference planning support for all judicial education training programs and conferences throughout the province
• research appropriate conference venues and prepary a comparison of cost estimate
• maintain financial database for the conference planning committees and monitor fee payment process
• coordinate the production of all related conference materials, compile registration packages and facilitate the timely delivery of conference materials to the conference location
• liaise with the judiciary, guest speakers, external vendors, hotel staff and other planning committee members
• review conference contracts to ensure they meet the requirements of the Conference Coordinator, the Associate Chief Justice, and the Senior Advisory Justice of the Peace
• review, verify, and reconcile conference hotel bills and other related conference expenses for accuracy prior to payment processing, and ensure expenses adhere to conference budgeting projections

How do I qualify?

Mandatory

• you have a valid Ontario Class G drivers licence

Technical Knowledge:

You have:

• knowledge of conference planning and administration
• the ability to acquire knowledge of OPS business administrative processes and procedures
• the ability to acquire an understanding of the Office of the Chief Justice, Ontario Court of Justice, the roles and activities of judges and Justices of the Peace
• the ability to acquire knowledge of the scope of education programs and tools to support the efficient and effective delivery

Organizational, Analytical and Problem Solving Skills:

You have:

• experience anticipating, identifying and resolving potential problems
• experience planning, coordinating, setting priorities and working simultaneously on multiple on-going initiatives or projects with conflicting, competing demands and tight deadlines

Communication, Interpersonal, Negotiation and Customer Service Skills:

You have:

• the ability to develop positive relationships and deal effectively with clients
• experience working independently as well as part of a team
• experience compiling agendas and conference materials (e.g. online registration, spousal and welcome packages)
• experience communicating with various internal and external stakeholders (e.g. the judiciary, ministry staff, and external vendors and speakers) using tact and discretion

Financial Knowledge:

You have:

• knowledge of financial, accounting and administrative policies and practices
• experience tracking and monitoring expenses

Computer Skills:

You have:

• proficiency using personal computers, computer networks, data bases and related software programs e.g. PowerPoint, Excel, Word, Outlook, and Internet/Intranet
