Seasonal Event Assistants play an important part in delivering high-quality programs, welcoming visitors, and ensuring that event spaces are safe, clean, and well-organized. It's hands-on, meaningful work that supports community engagement across unique and historic locations.

About the job

The Seasonal Events Assistant supports the planning and delivery of public programs, workshops, outreach activities, and rental events by:

• Helping to coordinate and deliver a range of public-facing programs and services.
• Completing administrative tasks such as tracking attendance and collecting feedback.
• Supporting reception or admissions areas as needed to ensure a positive visitor experience.
• Acting as a point of contact for clients and service providers by responding to routine inquiries.
• Identifying and resolving minor operational or customer service issues, and reporting urgent concerns.
• Preparing spaces and equipment for events, including setup and teardown.
• Maintaining clean, safe, and visually well-presented facilities throughout the day.

Work Environment:

• The position involves supporting programs and events that may take place during evenings, weekends, holidays, and occasionally into the late night (some events can run until approximately 2:00 a.m.).
• Program and event days can be active and fast-paced, often involving extended periods of standing or moving around the facility (sometimes 8+ hours).

Mandatory requirements

• Physical capability to lift, carry, and move furniture or equipment (up to 50 lbs) for event setup and teardown.

Program and Event Support

• Experience assisting with the delivery of events, workshops, or public programs.
• Ability to help with attendance tracking and other administrative tasks.
• Capacity to follow schedules and support smooth program flow.

Client Service and Communication

• Strong communication skills to provide friendly, clear, and professional service.
• Ability to handle routine inquiries and resolve minor issues calmly and effectively.
• Comfort interacting with visitors, clients, service partners, and co-workers.

Organization and Problem-Solving

• Ability to stay organized, manage multiple responsibilities, and maintain attention to detail.
• Readiness to identify when something needs attention and take appropriate action.
• Commitment to maintaining clean, safe, and visually appealing spaces.
