About the job
In this fast-paced team environment, where tasks are often complex, high priority and sensitive, you will:
• provide administrative services and support to the Director and the branch team members
• prepare and coordinate confidential correspondence and reports
• organize and coordinate meeting arrangements and the Director's schedule
• review the Director's correspondence and ensure prompt action
• maintain a confidential filing system.
• assist with coordination and administration of the Director's budgets
• provide outstanding customer service to clients
What you bring to the team
Administrative knowledge and skills:
• You demonstrate knowledge of administrative systems, processes and methods to develop reliable systems for control of administrative activities.
• You have knowledge of information management policies as they relate to branch records, schedules, retention and Freedom of Information and Protection of Privacy Act (FIPPA) requirements.
• You are able to maintain and set up confidential paper and electronic files by adhering to record retention schedules for Director's office.
• You possess judgment and synthesis skills to be able to link projects and information together to provide clear information to the Director and to be able to track multiple projects and information.
• You are proficient with email, word processing and other computer applications including spreadsheet applications, data base programs, electronic scheduling (e.g. Microsoft Outlook, MSWord, Access, PowerPoint, Excel and OCMS).
Communication and interpersonal skills:
• You demonstrate interpersonal and group leadership skills to support staff for assigned task, function and projects.
• You have excellent time management skills, excel working under pressure to meet deadlines and can handle a heavy volume of work.
• You demonstrate communication skills to liaise with clients and convey information or explanations.
• You have written communication skills to produce reports, correspondence, briefing and information notes for the Director and senior management on confidential and highly sensitive information.
• You demonstrate interpersonal skills including tact and diplomacy and ability to maintain confidentiality.
Organizational, planning and analytical skills:
• You demonstrate highly developed organizational and planning skills to organize the Directors schedule, and arrange physical and logistical requirements for meetings, and coordinate materials and flow of information.
• You have time-management skills, excel working under pressure to meet deadlines, and can handle a heavy volume of work.
• You demonstrate decision-making skills and judgement when retaining and drafting correspondence in priority order for Director's signature.
• You possess attention to detail skills to review, revise and proofread information and documents to ensure completeness and accuracy.
Financial knowledge:
• You have experience in managing expenditures, verifying purchase card reports, monitoring, and administrating financial statement, preparing and entering requisitions and inputting work planning/project and salary information.
• You have knowledge of financial process and procedures/directives (including work planning, budget tracking and reconciliation).
