About the job
Reporting to the Associate Director, Events and Partnerships, you will:
• Coordinate the research, planning, implementation, and logistics of the Lieutenant Governor's participation in both community events and events hosted in the Lieutenant Governor's office (eg: roundtables, civic visits, special events, honours presentations, receptions, Royal visits, etc). This will require negotiating with organizers, providing confidential advice, planning logistical details, advising on protocol, and dealing with unforeseen circumstances to maximize the effectiveness of the event for the organizers and the Office.
• Initiate, develop and maintain ongoing relationships with a variety of partners and stakeholders, including Indigenous leaders/groups, arts and culture organizations, different levels of government, political office holders and their officials, agencies and community groups including senior cultural and business leaders.
• Manage the planning of high-profile constitutional events, including Speeches from the Throne, granting Royal Assent, the Swearing-In of the Premier and Cabinet, etc. These events require knowledge of protocol practices, decorum, and order of precedence and working closely with counterparts from the Premier's Office, Cabinet Office, Speaker of the Legislative Assembly and Assembly staff and security.
• Lead the overall end-to-end delivery/project management of projects and events (including budget oversight) by providing direction and advice to colleagues, contacts, volunteers, and vendors to ensure the smooth operation and flow of events. Maintain high-level control over events while efficiently and discreetly resolving any ad hoc challenges encountered.
• Research and prepare briefing notes, issues notes, decision notes, and materials on issues of ceremonial, event planning, administrative or constitutional nature as required to support strategic planning and decision making and to use to brief the Lieutenant Governor and other executives.
• Attend events with the Lieutenant Governor. This involves travel throughout the province. These travel requirements often involve working outside regular office hours, on weekends, and recognized statutory holidays. While travelling, this position serves as the point of contact for the Lieutenant Governor and involves continual communication with security, the media, the Office, stakeholders, dignitaries, and event contacts.

You can demonstrate an ability to:
• act as a liaison between various parties, building key partnerships and collaborating with stakeholders, including government officials, patronage groups, community leaders, and the public
• develop communication materials, such as presentations and briefing notes, and politically sensitive correspondence, to support stakeholder engagement and brief senior management and the Lieutenant Governor
• use a high level of discretion and judgment when managing sensitive and confidential information
• lead consultations with stakeholders, and provide expert advice to senior management on performance improvement
Leadership, Program and Event Management Skills:
You can demonstrate an ability to:
• concurrently lead the planning, development, and implementation of special events, programs and initiatives
• develop program and project plans from concept to completion, including timelines, resources, and risk management strategies
• monitor program progress, track deliverables, and report outcomes to senior management and the Lieutenant Governor
• provide leadership and guidance to project or event teams, identifying clear roles and responsibilities, and fostering a positive and inclusive environment
Research, Analytical and Evaluation Skills:
You can demonstrate an ability to:
• develop and evaluate programs, understand government and ministry financial and administrative procedures, and use research methods
• research and contribute to strategic and operational planning of vice-regal office programming to provide subject matter expertise
• assess the effectiveness of new/changed policies and programs, and identifying best practices, to inform program design and opportunities for new programs and enhancements
Travel and Hours of work
This role will involve:
• community engagement with occasional travel across Ontario, to lead the coordination of special events
• working after hours, on weekends and/or statutory holidays to attend and coordinate special events
