Purpose of Position :
As a member of a Provincial Park Team, under the supervision of the Park Superintendent or Assistant Park Superintendent, to assist the Park Team members by performing general clerical and operational duties and provide customer service to park users.
Duties / Responsibilities :
1. Job requires provision of customer service including but not limited to providing park registration, concession stand and switchboard operation and answering general public inquiries by receiving and processing on line and gate sales of park permits and camp site reservations, directing traffic, providing orientation to the park including park layout and local attractions, updating campsite attributes and availability including no shows, pay on arrival, prepaid reservations and evictions and ensuring accuracy of campsite descriptions, brochures, and signage material. Job requires assisting with the selection, training, orientation and providing guidance to students when performing park registration, concession stand operations and answering general public inquiries as well as provides feed-back to group leader or manager on performance of students. Maintains park lost and found, customer comments and complaint forms and acts upon or resolves non-complex complaints. Reports to group leader or manager complex customer complaints or student issues for resolution.
2. Job requires performing revenue functions at park gate and or concession stand including distribution, tracking and replenishing of cash floats and performing interim cash pick-ups, balancing change and weekly cash blotter, as well as the accounting, recording and the balancing of fees collected, preparation of bank deposits, processing NSF cheques, refunding customers, invoicing 'no show' accounts, balancing ledgers and bank deposits and ensuring the security of all revenues including safe and office doors are locked daily. Checking accuracy of sales summary remittances and following up on discrepancies, and processing group camping reservations. Job requires conducting seasonal opening and closing and monthly inventory, calculating sales projections, ordering inventory, receiving orders, conducting quality control, and pricing incoming inventory, preparing invoices for payment and receiving refunds, issuing refunds to customers, preparing gross dollar sales reports, and merchandise reports. Setting up, programming, testing, downloading and reporting revenue from pay and display machines. Reporting to group leader or manager any concerns on cash discrepancies and providing clarification, explanation or contributing factors to discrepancies.
3. Job requires performing general clerical support by operating switchboard, internal radio-telephone system, and taking messages, processing incoming and outgoing mail, maintaining park files, preparing forms for superintendent signature for ordering of park uniforms and keys etc as well as issuing and maintaining a supply inventory. Job requires utilizing office equipment including but not limited to photocopier and computers, ensuring supplies and equipment are operational. Job requires updating park procedure manuals, training and orientation programs. Preparing and updating ledgers, reconciling permits, creating statistics, conducting park registration and reviewing cash sales, preparing weather and gasoline reports and creating and or confirming student timesheets utilizing specialized MNR park and Microsoft software including Word, Excel and PowerPoint.
4. Job requires performing human resource related functions including preparing documents for new hires and return of seasonal staff, obtaining approval signatures, forwarding documentation for action, inputting seasonal staff attendance for seniority calculation and auditing, reviewing time sheets submissions, ensuring staff adhere to timelines and submissions to ministry human resource service providers including Ontario Shared Services are accurate and within deadlines, liaising with partners to resolve issues.
5. Job requires compliance with the Occupational Health and Safety Act and reporting any hazards to the group leader or manager, and providing first aid and obtaining emergency services when required.
Staffing and Licensing :
Possession of valid Class 'G' driver's licence
Ability to obtain First Aid
Knowledge :
1. Job requires knowledge of park programs, services, operating regulations, applicable policies and procedures to ensure issuance of valid park permits, provision of accurate up to date information and assistance to clients and members of the general public and consistent guidance and information to students ensuring compliance with ministry and OPS practices and guidelines.
2. Job requires knowledge of customer services standards, including in-person interactions, telephone operation and etiquette to respond to enquiries and assist customers as well as provide guidance to students when dealing with the public.
3. Job requires knowledge of general sales, revenue and accounting business practices in order to ensure accurate expenditure and revenue monitoring and reporting, marketing, and retailing methods and procedures, balancing cash flow, deposits and refunds within the park.
4. Job requires knowledge of standard office methods, and procedures to provide clerical services to park staff including park superintendent by utilizing and maintaining park office equipment and provide standard clerical functions within the park to order, receive, log and maintain a variety of assets and information utilizing a variety of software and hardware.
5. Job requires knowledge of payroll policies, procedures, manuals to prepare and process documents for new and returning staff, collect and review timesheets to ensure entitlement and calculate seniority.

3. Job requires organizational, planning and coordinating skills to conduct or assist group leader or superintendent in ordering and maintaining inventory, processing and depositing revenue, arranging and preparing seasonal training, and maintenance of office equipment.
4. Job requires arithmetic skills to receive payments, balance cash flow, calculate sales projections, calculate seniority and research contributing factors to discrepancies.
Freedom of Action :
1. Job requires making decisions on own initiative utilizing standard park procedures and resolving complex non-routine issues and complaints referring to group leader or superintendent when issue or complaint is complex.
2. Job performs tasks with minimal direct supervision and works independently to establish work priorities and completes tasks within deadlines. Group leader or superintendent will occasionally review work assignment for completeness and accuracy.
