About the job
In this role, you will:
• receive incoming calls, respond to general enquiries and receive and greet visitors
• prepare and compose correspondence
• sort and distribute incoming mail
• provide clerical duties using the correspondence control tracking system
• provide back-up to the Deputy Minister's Administrative Assistant
What you bring to the team
Mandatory requirements
• You are proficient in English as well as oral French at the advanced level.
Administrative skills:
• You have knowledge of office administration policies, procedures and practices to provide support to the Correspondence Management Office (CMO).
• You have knowledge of multi-line switchboard and receptionist procedures, including knowledge and familiarity with the Quality Service Standards.
• You have experience proofreading correspondence for formatting, spelling, grammar and correct terminology.
• You are familiar with the operation of office equipment such as photocopier, scanner and facsimile.
Customer service and communication skills:
• You have interpersonal and customer service skills to provide responses, greet visitors and meet client needs.
• You have strong communication skills to respond to enquiries from the general public, professionals, executives and officials with tact and diplomacy.
• You have strong team working skills.
Computer skills:
• You have knowledge of word processing, database and communication software such as Word, Excel and electronic mail.
• You have knowledge of correspondence control systems to enter data, maintain records and conduct correspondence searches.
Organization and prioritization skills:
• You have organizational skills to prioritize work and meet established timeframes and conflicting deadlines.
• You have reasoning and problem-solving skills to determine extent of information to provide and determine priorities (urgencies).
