About the job

You will:
• Provide bilingual reception, mail and administrative services for the region.
• Receive all incoming telephone calls for the region and greet visitors.
• Answer general questions regarding ministry programs and information resources.
• Receive, sort, and distribute all incoming mail for the region
• Coordinate courier services, book boardrooms, and maintain reception area.
• Ensure administrative procedures are in accordance with the OPS Common Service Standards, ministry standards, accessibility, and French language policies.

What you bring to the team


Mandatory requirements

• You have Advanced-level oral and Advanced-minus level written French language skills.

Communication, Customer Services and Interpersonal Skills

• You have oral communication skills in English and French to receive and respond to telephone calls.
• You have written communication skills in English and French to provide general information and to respond to email inquiries.
• You have customer service and interpersonal skills to respond to callers and visitors in a courteous and professional manner.
• You are able to use judgement and tact.

Administrative Knowledge and Skills

• You have knowledge of office administrative procedures to perform a variety of administrative tasks.
• You have knowledge of word processing software, internet, and email to prepare a variety of documents, labels, letters, and emails.
• You have typing skills.

Organizational, Analytical, and Reasoning Skills

• You have organizational skills to prioritize work to ensure duties are completed in a timely manner.
• You are able to recognize urgent or time sensitive tasks.
• You have analytical and reasoning skills to direct calls to the appropriate program area, improve client services, and develop standard procedures for reception and mail functions.
