About the job
You will:
• answer and redirect all incoming calls using a multi-line telephone system
• respond to calls consistent with the government's customer service requirements and quality service standards
• respond to contentious and difficult or sensitive calls
• advise the appropriate Manager of contentious calls and urgent matters
• use discretion in receiving visitors and directing them to the appropriate office/staff
• deal with unexpected visitors under pressure
• provide computer processing services and clerical support to Branch units
• update and maintain internal telephone directory and lists
• receive, open, sort and process all incoming and outgoing mail services, assist with ordering stationary and office supplies
What you bring to the team
Mandatory requirements
• You are proficient in English as well as oral French language at the advanced level.
Communication and Customer Service Skills:
• You have excellent interpersonal communications and customer service skills in dealing with callers, visitors, ministry political staff, senior management, colleagues and peers.
• You demonstrate sound tact and discretion to handle confidential information/materials and respond to sensitive inquiries.
• You can prepare/compose routine correspondence and clearly and accurately transcribe messages.
Organization, Research and Judgement Skills:
• Research skills to update resource materials and redirect calls appropriately
• Judgement and tact when dealing with internal/external stakeholders and as well as difficult callers and visitors
• You have excellent organizational skills to prioritize workload and meet service standards and deadlines
Computer Skills:
• You are proficient with word processing and a variety of computer software programs and databases to create documents and check information
Technical Knowledge:
• You have excellent knowledge of customer service principles and practices, as well as the government's service quality standards
• You have an understanding of the structure of government ministries and partner agencies
