About the job
In this bilingual role, you will:
• provide front-line reception services to visitors
• respond to general inquires received via telephone and email
• maintain the appointment calendar for the Deputy Minister's boardroom
• ensure the Deputy Minister has their daily schedule and appropriate background materials for meetings
• maintain a records management and bring forward system for the Deputy Minister's complex and confidential files
• track and coordinate correspondence and briefing materials on behalf of the Deputy Minister
• serve as a liaison with senior management offices and other areas of the ministry
• assist with various financial activities and transactions (e.g. processing of travel claims, ordering office supplies)
What you bring to the team
Mandatory requirement:
• You are proficient in English as well as verbal and written French at an advanced level.
Office administration skills:
• You have experience providing a variety of office administration support services (e.g. filing, mail, appointment scheduling, gathering meeting materials).
• You have experience developing and maintaining records management and bring forward systems.
• You have experience logging and tracking correspondence.
Customer service skills:
• You have experience providing high-quality customer service.
• You have oral communication and interpersonal skills to tactfully respond to dissatisfied and/or irate clients.
• You have written communication and computer skills to compose tactful and accurate responses to inquiries.
Other important skills:
• You have strong judgement and discretion to work with sensitive and confidential information.
• You have organizational and planning skills to manage competing demands in a high profile environment.
