The Provincial and Demonstration Schools Branch, Ministry of Education, Centre Jules-Léger School in Ottawa has an exciting opportunity for an experienced School Secretary to work on an on-call/supply, hours as required basis.

About the job

In this role you will provide the following secretarial and administrative support services to the Principal at the Centre Jules-Léger School for the Deaf and the Principal at the Centre Jules-Léger Demonstration School.

You will:
• Review all incoming mail directed to the Principals and assess its urgency;
• Prepare a variety of documentation;
• Take minutes/notes;
• Answer calls/greet visitors/respond to general inquiries;
• Arrange for travel/meetings/events;
• Manage schedules/calendars;
• Establish/maintain filing/correspondence/bring forward system;
• Maintain and order supplies as required;
• Undertake various other clerical and administrative tasks as assigned.

What you bring to the team


Knowledge:

• You have advanced administrative/secretarial experience;
• You have demonstrated knowledge of office practices and administrative procedures;
• You are proficient in preparing, formatting and coordinating a range of correspondence and documents;
• You have knowledge of office equipment including photocopiers.

Technical Skills:

• You are experienced and proficient using various software programs, including word processing, presentation, spreadsheet and database software;
• You have demonstrated experience using personal computers and software applications to prepare correspondence, presentations, spreadsheets, databases, Microsoft Outlook and other standard software applications.

Organizational, Reasoning and Problem Solving Skills:

• You are organized and have time management and administrative skills to organize high volume of administrative and secretarial services, to set priorities and meet deadlines, to ensure a coordinated and efficient flow of information within office, program and school areas;
• You have reasoning skills to determine what matters should be given priority when performing a variety of different administrative tasks with conflicting deadlines;
• You have problem solving skills to determine appropriate action for sensitive inquiries.

Communication and Customer Service Skills:

• You have excellent French and English verbal and written communication skills;
• You have the ability to communicate proficiently in Langue des signes québécoise (LSQ) or have the willingness to obtain;
• You can provide information to clients in a courteous and professional manner;
• You can prepare routine correspondence, draft letters and memos.
