Are you a highly organized professional and strategic thinker with expertise in relationship management and providing executive management support?

If so, consider this opportunity to support the Ontario Science Centre senior management team. Reporting to the Vice President of Communications & Marketing, this position will provide direct support to the four Vice-Presidents (VP), each with a distinct portfolio: Corporate Services/Operations; Science Education; Science Experience; and Communications/Marketing. The position will also work in direct alignment with the CEO's office.

About the job

In this position, you will:
• Provide experienced executive support and advice to four VPs in relation to operation and administration to ensure integration across all four portfolios
• Plan and manage the daily and long range scheduling of activities for the VPs
• Provide executive meeting logistics and support
• Develop, maintain and implement systems and procedures that ensure the effective workflow management of the VP offices
• Manage the flow of information, materials and approvals across branches
• Develop, manage and maintain relationships critical to effective operations
• Contribute clear writing and issues management skills to synthesize and prioritize information with brevity and to develop these skills in others

What you bring to the team


Administrative and Organization Skills

• Strong calendar management skills, as well as meeting logistics and support
• Superior organizational skills to ensure information and activities are managed and delivered in a timely manner, and to ensure the VP offices are responsive and flexible to changing demands
• Excellent knowledge of the practices of an executive office; previous experience providing executive support is preferred

Communication and Interpersonal Skills

• Superior communication and consultation skills to provide direction and follow up on behalf of the VPs
• Demonstrated experience building and maintaining relationships within an organization as well as with other partners to gather information/input, build consensus and achieve results
• Facility with preparing various materials including presentations, briefing notes, submissions and responses to issues within tight deadlines

Analytical and Research Skills

• Ability to think strategically using good judgement and demonstrate political acuity
• Initiative to research and analyze information in response to a full range and complexity of requests, including priority or contentious issues, and determine appropriate responses
