Are you a well-organized detail oriented individual who enjoys working in a fast-paced team environment? The Ministry of Health is seeking an individual to deliver administrative services to support management and staff in the Provincial Programs Branch.

About the job

In this role, you will:

• Organize and log incoming and outgoing mail.
• Respond to inquiries from staff and the public.
• Prepare a variety of material including routine correspondence, funding packages, reports, spreadsheets, minutes and presentations.
• Assist with proof reading materials and checking accuracy of information as per the administrative and branch guidelines and templates
• Make arrangements for travel and meetings, book meeting rooms and schedule appointments
• Maintain manager's daily calendar
• Provide financial administrative support including processing invoices and expense claims.
• Maintain files, documents and manuals, and unit archive records.
• Participate in projects related to the development and implementation of administrative processes and systems.

What you bring to the team


ADMINISTRATIVE AND BUSINESS SUPPORT EXPERIENCE:

•Proven knowledge/skill in administrative systems, methods and administrative policies, procedures and processes to provide administrative support services to the branch/office management and staff.
•Demonstrated knowledge and understanding of systems and processes related to the administration/processing of human resources information/documents, purchasing requisitions, invoices/expense claims.

ORGANIZATION, REASONING, PROBLEM SOLVING AND ANALYTICAL SKILLS:

• You can determine work priorities and respond to multiple and sometimes shifting work demands.
• You can provide general information, and refer requests appropriately.
• You have arithmetic skills and attention to detail to check and verify information for accuracy and completeness, and provide administrative financial support
• You can determine the appropriate format for the preparation of a variety of documents.

COMMUNICATION, CUSTOMER SERVICES AND INTERPERSONAL SKILLS:

• You can act with tact and diplomacy when responding to inquiries.
• You can prepare standard correspondence and manage work in a team environment
• You understand customer service principles, methods and practices.

COMPUTER SKILLS:

• You can use word processing, database, spreadsheet, presentation and organizational chart applications.
• You are familiar with administrative, financial and human resources information systems (e.g. iApprove, Correspondence Management System).

Note:

  • Effective October 1, 2021, the OPS COVID-19 Safe Workplace Directive requires all Ontario Public Service employees to provide proof they are fully vaccinated, meaning they are fully vaccinated as defined by the Ministry of Health (refer to:  COVID-19 Fully Vaccinated Status in Ontario ), including 14 calendar days have passed since receiving their final dose of the COVID-19 vaccine.
