About the job
In this position, you will:
• Provide a full range of administrative secretarial services
• Utilize a personal computer to transcribe a variety of documents in proper legal style
• Accept service on various documents virtually and in person
• Maintain Ontario and Superior Court files utilizing a database system
• Type Ontario and Superior Court subpoenas
• Provide front line customer service by answering the telephone, dealing with inquiries at the counter and via email
• Provide a variety of clerical services, litigation support and preparation of disclosure
What you bring to the team
Mandatory:
• You can type 50 words per minute and are able to achieve 70% in a series of tests for spelling, word usage and sentence recognition
Legal Knowledge:
• You are able to apply relevant statutes, rules, regulations, policies and practices such as Rules of Criminal Procedure, legal office, criminal prosecution programs, and court procedures to prepare for proceedings, prepare/distribute/track disclosures, answer telephone and counter inquiries and maintain Crown briefs
• You have knowledge of legal terminology to prepare legal documents, explain procedures and compose from verbal instructions
Administrative Skills:
• You demonstrate secretarial and administrative experience including thorough knowledge of office procedures, customer service skills according to customer service standards and filing systems in relation to Records Information Management process to provide support to the prosecution program and process invoices/statements/expenses
• You demonstrate the ability to use office and computer equipment with related software such as Windows, Word, Outlook, Excel, Teams, ADOBE Acrobat and related database applications, and supporting the presentation of evidence in the courtroom and ZOOM
Communication and Interpersonal Skills:
• You have excellent oral and written communication skills to provide information to police, victims/witnesses, media, court staff and the general public
• Your interpersonal skills enable you to work effectively as a team member or independently with minimal supervision
Analytical, Judgement and Organizational Skills:
• You demonstrate initiative and good judgement by using appropriate legal terminology when preparing for proceedings and typing legal documents
• You are able to prioritize your workload while meeting conflicting deadlines
