About the job
You will:
• prepare and review new client application files
• provide administrative office support
• provide quality customer service to clients at front counter and reception, responding to general inquiries in either French or English (in person, by phone or email)
• process contracts and enter information into data base systems
• process office accounts payables and receivables
• prepare a variety of correspondence
• provide financial and budget management support services
• respond to inquiries from clients regarding employment programs and services
• work closely with unit staff to respond to and coordinate ministry requests for information and reporting requirements
• take meeting minutes and track correspondence
What you bring to the team
Mandatory:
• You must possess oral and written French language skills at the advanced level. Your proficiency level will be confirmed before hire.
Knowledge:
• understanding of employment services and related programs and roles
• knowledge of administrative and financial practices and procedures
Communication and interpersonal skills:
• demonstrated communication skills to gather information and explain procedures to clients and staff and prepare reports
• customer service skills
• demonstrated interpersonal, organizational and planning skills
• ability to prioritize work and meet deadlines
Reasoning and Analytical Skills:
• demonstrated analytical, reasoning and problem solving skills to research and analyze case information and determine priority and urgency
• ability to interpret and apply relevant legislation, regulations and related polices and directives, including Freedom of Information (FOI) practices
Computer Skills:
• proficiency in word-processing to prepare presentations, spreadsheet, database, correspondence tracking and electronic scheduling software
• ability to administer database systems, correspondence and other information tracking systems
