The Ministry of the Attorney General requires an experienced and highly motivated Legal Secretary to support multiple counsel in a busy litigation practice at the Legal Services Branch with the Ministry of Finance.

About the job

You will:

• prepare a variety of correspondence including letters, memoranda, reports, opinions, briefing notes and legal documents;
• update a log to include legal documents and correspondence, and maintain filing systems;
• provide administrative services such as handling incoming calls, responding to routine inquiries, handling incoming/outgoing mail, etc;
• coordinate travel accommodations, meetings, proceedings/court appearances, appointments and conferences;
• research information in law library for references, citation and statutes to include in legal documents;
• liaise with ministry staff, members of the legal profession and the public.

What you bring to the team


Mandatory:

• You are able to type 50 words per minute (wpm) and dicta to Ministry standards.

Legal Knowledge:

• You demonstrate knowledge of legal terminology in a litigation environment to ensure correct procedures are followed and to prepare complex legal documents.
• You have legal secretarial/administrative experience and demonstrate knowledge of legal office methods.
• You are able to apply knowledge of the court system, Rules of Civil Procedure and relevant federal and provincial statutes to ensure documents are filed accordingly and meet limitation dates as well as review legal articles, references, citation and statutes to be included in legal documents.

Organizational and Analytical Skills:

• You are able to set priorities while meet conflicting deadlines in a high pressure environment.
• You demonstrate analytical skills to assess confidentiality issues regarding disclosure of information.
• You exercise sound judgment and initiative to work independently and perform tasks with minimal guidance.

Communication and Interpersonal Skills:

• You have oral communication and interpersonal skills to liaise with counsel, court officials, senior Ministry officials and members of the public.
• Your written communication skills allow you to prepare letters, memoranda, reports and legal documents, and enter, track and update case management systems.

Other Essential Skills:

• You are proficient with computer software and file management/docketing systems such as LSIS, Elite, Word, Excel, Outlook and PowerPoint.
• You have knowledge of record retention and archiving procedures to prepare and retrieve files.
