About the job
In this role you will:
• provide counter service and telephone assistance to the legal profession and public
• review and accept documents (appeals, applications, motion material and exhibit books)
• advise on procedural requirements
• verify compliance of filings to ensure form and content conform to the Rules of Civil Procedure as applied to the Divisional Court
• process filing fees and issue receipts
• prepare bank deposits
• update FRANK (court case tracking system) with respect to receipt and storage location of documents
• verify receipt of filings, events and final dispositions of files by data input
• maintain tracking system of reserved judgments
• close out finished files and prepare for archive storage
• advise all parties of final dispositions
• compose routine correspondence and enter orders
• provide administrative and clerical support to the Registrar
What you bring to the team
Mandatory requirements
• You are proficient in English as well as in oral and written French at the advanced level. Your level of proficiency will be tested.
Communication, Interpersonal and Customer Service Skills:
• You are able to interact with variety of internal and external stakeholders (e.g. judiciary, legal profession, paralegals, self-represented litigants, office staff and the general public) in person and over the telephone while maintaining a high degree of confidentiality.
• You are able to handle requests and complaints using tact, discretion, courtesy and diplomacy in a team environment.
• You have the ability to compose routine correspondence and reports (e.g. Reserve Judgment Tracking Report) following a standard guide.
Analytical and Organizational Skills:
• You have basic arithmetic skills to receive payments, issue receipts, balance cash as well as identify and reconcile discrepancies.
• You have the ability to pay attention to detail to review legal documents against the requirements of a variety of legislation, rules and procedures to ensure accuracy and completeness.
• You have the ability to set priorities and meet deadlines in a high volume environment.
Technical Knowledge:
• You have the ability to acquire knowledge and apply understanding of the functions and jurisdiction of the Superior Court of Justice Divisional Court.
• You have the ability to acquire knowledge of the relevant Rules of Civil Procedure, Family Law Rules, the Courts of Justice Act, and portions of legislation (e.g. Judicial Review Procedure Act, Statutory Powers Procedure Act), regulations, policies and procedures to review and accept documents and advise on procedural requirements.
• You have the ability to acquire knowledge of court practices and procedures to process and prepare court documents (e.g. notices of appeal and applications for judicial review).
• You have the ability to carry out clerical functions such as archiving files, retrieving files, record keeping and sorting mail.
Computer Skills:
• You are proficient with word processing, email and spreadsheet software as well as large information management databases (e.g. Word, Outlook, Excel, Access, FRANK) to prepare, process, data enter and file court documents.
