About the job

You will:
• research and retrieve intelligence, information and/or data from various secure Information Technology systems;
• assist in the collection and extraction of data from files, reports and/or databases for further manipulation by staff;
• process, input and maintain highly-confidential criminal and intelligence records in various secure Information Technology systems;
• compose and prepare correspondence and use word processing skills to produce a variety of reports, spreadsheets, and presentations;
• provide reception services, refer inquiries and receive and screen visitors;
• coordinate arrangements for all meetings including booking meeting locations, prepare agendas, and compile related background material as appropriate and coordinates travel/accommodation requirements;
•provide general administrative financial support services for the program/branch management;
•provide general administrative support services including correspondence, file management, data extraction, maintain office equipment, order stationary supplies, and maintain databases.

Administrative Knowledge and Experience

You have:
•Demonstrated knowledge with government administrative procedures, guidelines and policies to provide administrative services, data input and research services.
•Knowledge of administration of purchasing requisitions, invoices/expense claim payments, human resources documents.
•Demonstrated knowledge of electronic and hard copy records management and archives.
•You have arithmetic skills to reconcile/balance expenditures, check/verify calculations on expense claims and invoices, provide cost estimates on potential purchases or future expenses.
•Ability to acquire and apply general knowledge of the division to coordinate the program/branch management's agenda, determine appointment priorities and respond to queries.
•Ability to acquire and apply knowledge of processes related to the administration of sensitive police/law enforcement data, intelligence and information.

Superior Reasoning, Organizational and Time Management Skills

•You can determine what matters should be given priority, manage conflicting deadlines; and can respond effectively to fluctuating work-load demands.
•You have demonstrated ability to work with confidential information and maintain security of information.
•You can compile information for meetings, correspondence responses.
•You have evaluation and problem solving skills.

Communication (oral and written) and Presentation Skills

•You have attention to detail to review/proof read documents for accuracy and completeness.
•You can prepare documents using a variety of word processing, database, and presentation software applications.
•You can respond effectively to information requests and refer to the appropriate staff member.

Computer Skills

•You have demonstrated knowledge of software programs including but not limited to: word processing, database manipulation/management, spreadsheet, presentation, and organization chart applications.
•You have proven typing skills to produce a variety of documents and correspondence.
