About the job

• Process incoming and outgoing mail
• Schedule inmate visits in accordance with ministry policies and procedures
• Screen and direct multiple-line telephone switchboard calls to the institution
• Answer general inquiries
• Greet and receive visitors
• Provide clerical support to senior institutional staff

What you bring to the team

Reception and Administrative Experience

• You know how to provide reception services including use of telephone switchboards to respond to and direct calls efficiently and effectively
• You have knowledge of general office administrative processes and practices including understanding of legislation and policies related to the release/confidentiality of information
• You are able to acquire knowledge of regulations and mail/courier procedures to process incoming and outgoing mail
• You have recording skills to accept and record receipt of mail and parcels
• You are proficient with word processing software (e.g. MS Word) to prepare a variety of correspondence and reports
• You have strong keyboarding skills to type and/or compose documents

Communication and Interpersonal Skills

• You have interpersonal and communication skills to interact with a large volume of callers, relay messages and instructions, and provide information on policy/procedures related to inmate visits and mail
• You can accurately relay messages and instructions.
• You demonstrate strong customer service skills.

Other Skills

• You have problem-solving and basic arithmetic skills.
• You demonstrate strong judgment to prioritize work demands appropriately.
