Bring your customer service and general office administration skills to this role with the Fort William Historical Park (FWHP), where you will provide a range of clerical and admission support services to FWHP operations.

About the job

In this role, you will:

• provide customer service
• process visitor admissions, ticket and retail sales
• maintain cash float and operate cash registers
• reconcile daily sales by preparing cash out reports, balancing Z tapes, explaining cash overages and shortages, and preparing daily deposits and coin orders
• answer factual telephone inquiries from the public, private sector organizations, tour operators and education groups, and provide FWHP product information in response to telephone, email and in-person enquiries
• maintain file systems in support of FWHP operations
• compose and type routine correspondence on behalf of the FWHP management team and other staff members in response to information inquiries, such as reservations, sales, bookings, meetings, conventions, special events, rentals, entertainment and banquets
• provide clerical , administrative, and set-up/strike assistance in support of FWHP special events
• perform routine and project-related clerical services
• provide visitor transportation services
• assist other FWHP positions in time of seasonal hiatus, peak volumes and as assigned by management

Note: This position requires the successful candidate to have availability to work evenings and on weekends, and flexibility to work extra hours as required.

What you bring to the team

Mandatory requirements

• You must have a valid Class G Ontario Driver's Licence.
• You must possess oral French language skills at the advanced level and written French language skills at the advanced-minus level. Your proficiency level will be confirmed before hire.

Business Knowledge and Skills

• You have the ability to gain knowledge of FWHP programs, events, promotions, projects, policies and procedures to respond to factual inquiries.
• You have experience with cash handling, processing, retail sales and financial reporting and reconciliation procedures to prepare statistical reports.

Administrative Knowledge and Skills

• You have receptionist skills to route calls, forward messages and redirect callers to other branches.
• You have typing skills to provide assistance in support of program delivery.
• You have accurate data entry skills to update and maintain telephone caller listings and revenue reports.
• You have administrative skills to assist with the processing of admissions and statistical reporting.

Organizational Skills

• You have organizational and planning skills to provide customer service with adherence to established policies and practices.
• You are able to respond to fluctuating seasonal demands and increased visitor attendance.

Analytical and Problem Solving Skills

• You have analytical skills to reconcile daily sales by preparing cash out reports, and explaining cash overages and shortages.
• You are able to resolve customer complaints by determining a mutually acceptable solution.
• You can respond to a variety of unexpected visitor care issues that can occur simultaneously.

Communication and Interpersonal Skills

• You have oral communication skills to answer inquiries from the public, community associations and private sector organizations.
• You are able to communicate factual information regarding the programs, services and up-coming events of FWHP.
• You can compose routine correspondence.
• You have effective interpersonal skills to provide customer service to the public and to respond to callers and visitors with courtesy, as well as receive visitors on-site.
