The Vanier Centre for Women seeks an individual with strong administrative skills to provide reception services in both English and French, and assist with mail services for the institution.

About the job

In this role, you will:

• screen and direct calls from a multiple-line telephone switchboard, and answer general inquiries;
• receive visitors, verify identification and issue identification tags;
• update and maintain internal telephone directory and lists;
• assist with incoming and outgoing mail services;
• assist with ordering stationary and supplies;
• assist with writing receipts for inmate trust funds;
• perform other administrative duties.

What you bring to the team

Mandatory Requirement

You are proficient in English as well as oral and written French at the advanced level.

Knowledge and Experience

• You have knowledge of and experience in using a multiple-line switchboard.
• You demonstrate experience in providing receptionist services.
• You have knowledge of courier service procedures.

Communication Skills

• You can communicate effectively in person or by phone, and deal with irate callers and/or visitors.
• You can use tact and courtesy when communicating with staff and the public.

Analytical and Reasoning Skills

• You can prioritize incoming calls, as well, you can recognize and action unusual, suspicious or urgent calls.

Computer Skills

You can use computer applications and internal database to create documents and check information.
