About the job
In this role, you will:
• Provide reception services.
• Prepare reports, minutes and presentations.
• Ensure the accurate processing of employee payroll and attendance information.
• Assist in budgeting and financial activities.
• Maintain and order office supplies.
• Process incoming and outgoing mail.
What you bring to the team
Mandatory:
• You must type 40 words per minute.
Administrative Skills and Experience:
• Demonstrated experience providing administrative support.
• Knowledge of and/or the ability to interpret Ontario Public Service administrative policies, procedures and practices to provide administrative and reception support services to managers and staff.
• Ability to manage files, process invoices, arrange meeting/travel accommodations, maintain office supplies.
Computer Skills:
• Computer proficiency using standard software (word processing, spreadsheet, database, presentation, e-mail, internet/intranet).
• Ability to use financial and attendance management systems to produce correspondence and reports to enter and maintain financial and staffing data.
Communication and Interpersonal Skills:
• Demonstrated communication and interpersonal skills to work effectively with staff, managers, suppliers and to provide customer service and reception services.
Organizational Skills:
• Proven organizational skills and ability to set priorities, work independently and organize work.
Payroll Knowledge:
• Knowledge of payroll and attendance practices to complete accurate documentation/reports.
• Ability to interpret pay policies, collective agreements and guidelines.
Analytical, Mathematical and Problem-solving Skills
• Analytical, mathematical and problem-solving skills to maintain, verify and reconcile financial and purchasing documents.
• Ability to deal with confidential information and determine appropriate release of information.
