The Pay Equity Office (PEO) is seeking a highly motivated individual with strong administrative skills to support the PEO and its management team. The successful candidate will have the ability to work on a variety of interesting projects, analyze and respond to FIPPA requests, and work with digital tools. As the PEO's Program Assistant, you will be a key part of the PEO's team approach to its mandate to eliminate gender-based pay discrimination. About the job
In this role you will:
• Provide essential support for the PEO's electronic case management system, including processing investigation applications
and decisions, and generating statistical reports.
• Provide administrative support to the management team by providing information to the public, managing telephone inquiries,
and handling incoming mail.
• Respond to Freedom of Information and Protection of Privacy Act (FIPPA) requests.
• Play a key role participating in small project teams.
What you bring to the team
Administrative and Technical Skills
You have:
• You have the ability to interpret and apply related regulations, policies, and procedures to assist clients (i.e., Pay Equity Act)
• You have knowledge of case management systems, records information management policies, and general office
administration practices and procedures.
• You can proofread documents to ensure accuracy.
• You have excellent knowledge of customer service standards, techniques, and requirements of privacy legislation to ensure
client requests are dealt with promptly and courteously without compromising privacy.
Communication and Interpersonal Skills
• You have strong communication and interpersonal skills to work and liaise with staff and the public.
• You have demonstrated oral/written communication skills to respond to internal and external inquiries, provide information and prepare responses/correspondence.
• You have interpersonal and time management skills to work within a team; ability to establish trust and good working relationships.
• Responds to FIPPA requests ensuring full compliance, and clarifying requests as needed.
Analytical Skills and Organizational Skills
• You can identify and resolve discrepancies, gather information, and provide routine analysis.
• You have attention to detail and ability to analyze files and provide feedback on accuracy.
• You have organizational skills to maintain databases and bring forward systems.
• You can prioritize workload, meet deadlines, and ensure accuracy with minimal supervision to manage conflicting deadlines.
• You have mathematical and analytical skills to validate caseload counts; conduct research queries.
Computer Skills
• You have experience using computer software applications (e.g., Microsoft Office) to gather data, prepare reports,
manipulate spreadsheets, and edit presentations.
• You have the ability to conduct research using the internet, databases, and related software.
• You have the ability to learn and use SharePoint to maintain PEO's internal digital workspace and public-facing website.
• You have knowledge of case management systems to input and track information.
