Please note: You will be required to work from the following work location, 5-days a week: 875 Gormanville Road, North Bay (North Region).
About the job
You will:
• provide a range of administrative and district support services (e.g. taking meeting minutes, maintaining filing systems, producing approvals/permits/licenses, handling incoming/outgoing mail, etc.)
• provide logistical support to district supervisors and district staff
• reorganize and establish an archival file room for the district files
• provide front-line customer and client services to internal and external clients
• assist in the district financial process by receiving revenue, preparing receipts, making bank deposits, entering data, identifying and resolving errors
What you bring to the team
Office administration experience:
• experience with office administrative duties (filing, tracking correspondence/projects, purchasing, revenue collection, assets management, etc.)
• knowledge of administration of natural resources licensing (baitfish, bear management areas, trapping, land use permits, etc)
• demonstrated proficiency with computers and software programs such as word-processing, database, electronic mail, internet, spreadsheet
• experience using financial systems to create documents, manage data, and keep digital records organized
Planning and organizational skills:
• ability to schedule and organize meetings, training sessions, seminars and workshops
• ability to use effective time management skills to organize own workload to ensure deadlines are met
Judgement and analytical skills:
• determine nature and urgency of matters, inquiries and processes and prioritize, action or refer accordingly
identify and resolve discrepancies in reports and financial data
• possess knowledge of relevant legislation (Crown Forest Sustainability Act, Public Lands Act, and Aggregate Resource Act), policies, guidelines, regulations and/or statutes to provide information, issue licenses and permits
• maintain a high level of confidentiality
Communication skills:
• convey information, respond to inquiries, resolve complaints and issues using tact and diplomacy with clients, the general public and staff
• maintain a professional demeanor when interacting with challenging or dissatisfied clients, whether in person, via email, or over the phone
• redirect inquiries to appropriate program leads
• compose and proofread general correspondence
