We're seeking an Account Referral Clerk to manage case assignments of legal and clinical personal rights files of the Office of the Children's Lawyer (OCL). You will work in a stimulating, fast-paced and high-volume environment providing administrative and financial support as an integral part of the Accounts and Referral team.

Who we are:

The Office of the Children's Lawyer is an independent law office within the Ministry of the Attorney General. We represent children under the age of 18 in various legal matters, including family law cases (such as parenting time, contact, and decision-making responsibility), child protection cases, civil cases (like personal injury and medical malpractice), and estates and trusts.

About the job

You will be responsible for:
• receiving and reviewing for accuracy and completeness a variety of legal documents including Child Protection court orders, parenting time/decision-making and Voluntary Youth Services Agreement forms
• using the case management system to open legal files, update case information provided in legal documents
• assigning cases to private sector retainer lawyers and clinicians across the Province
• auditing invoices and identifying omissions and errors in accordance with established billing rules and internal policies
• liaising with lawyers and clinicians to ensure case information is accurate and in compliance with legal and policy provisions
• work collaboratively as an integral part of a high-volume unit; provide back-up support to other Accounts and Referral team members as required; share best practices with colleagues.

What you bring to the team


Legal knowledge and experience

• You can obtain/gain knowledge of family law related to child protection and parenting time/decision-making matters.
• You are familiar with relevant statutes, rules and regulations relating to the Courts of Justice Act, and the Child, Youth and Family Services Act.
• You have an understanding of legal policies and procedures and legal office practices.
• You have an understanding of legal terminology, documents and court processes.
• You can identify key issues within case files to ensure they are assigned to the right lawyers and clinicians.

Analytical, assessment and problem solving skills

You can:
• review legal documents, ensure complete accuracy of work, and maintain compliance with applicable legal and policy requirements.
• determine whether information is confidential and whether it can be released.
• work independently and meet deadlines in a high-volume, time-sensitive environment.
• ensure strong attention to legal and factual detail to manage complex information.
• verify invoices, identify omissions and errors in accordance with established billing rules and internal policies.

Communication and interpersonal skills

You have:
• tact, discretion, interpersonal and oral communication skills.
• the ability to use appropriate legal terminology to provide sensitive information, offer clear explanations, and exchange legal information with lawyers and clients.

terminology.

Organizational, customer service and teamwork skills

You can
• prioritize your workload and flag items or cases to ensure timely, accurate processing that meets legal and accounting requirements.
• meet strict deadlines and ensure timeframes are met.
• demonstrate customer service and teamwork skills to provide support to lawyers and clinicians.
• respond promptly to issues involving legal documentation and procedures.

Computer skills

You have:
• proficiency with Microsoft Office and customized databases (e.g., Word, Excel, Outlook) to input/extract data and produce routine legal documents.
• the ability to use customized case management system to open files, update case details, track and cross-reference information, provide summaries, and audit accounting data.
