The Health Data Branch manages provincial health data assets and guides how they are accessed, collected, used, protected, and shared. The branch supports the Ministry's Data & Digital Action Plan and leads data management initiatives that support health system operations and planning.

As an Administrative Assistant, you will provide day-to-day administrative support to managers and staff within the branch. This role focuses on coordinating schedules, organizing meetings, preparing documents, and supporting basic financial and human resource processes

About the job

In this role, you will:
• prepare routine correspondence, reports, spreadsheets, meeting minutes, and presentations
• coordinate meeting arrangements and schedule appointments for managers
• process invoices and expense claims and provide general financial administrative support
• support managers in preparing human resource (HR) documents and assist with recruitment, onboarding, and offboarding activities
• maintain files, records, and administrative manuals, and archive documents as required
• maintain information tracking systems and provide general administrative support to staff
• participate in projects to improve or implement administrative processes and systems

This role is well suited to someone who is organized, detail-oriented, and comfortable managing multiple administrative tasks in a structured environment.

• have knowledge of administrative processes and practices, helping you confidently support both management and staff
• can contribute ideas and help shape office administrative systems and processes
• can coordinate HR documents, purchasing requisitions, invoices, and expense claims

You:
• can manage competing priorities and stay on top of multiple demands with ease
• can provide clear, general information to clients and ensure requests get to the right place
• have arithmetic skills and attention to detail to help you verify information accurately and support day-to-day financial tasks

Communication, customer service and interpersonal skills

You:
• can communicate clearly and professionally, responding to inquiries with tact and diplomacy
• can prepare standard correspondence and work effectively in a collaborative team environment
• understand core customer service principles and consistently deliver supportive, positive service experiences

Computer skills

You have:
• proficiency with word processing, database, spreadsheet, presentation, and organizational chart applications
• knowledge of administrative, financial, and human resources information systems
