About the job
In this position you will:
• prepare certificates for Commissioners and Notary Public appointments
• work with the Law Society of Upper Canada to check lawyers' status and take needed steps
• handle and check written requests for official documents and certificates
• provide document services in English and French, often working with senior government offices
• answer questions/inquiries from the public in both English and French

Mandatory requirements
• You must possess oral and written French language skills at the advanced level. Your proficiency level will be confirmed before hire.
Official documents services must have:
•
Customer focus to assess and prioritize the urgency of client requests, verify detailed information, and deliver accurate, bilingual (French and English) information and services. You use tact, discretion, patience, and courtesy to support clients from diverse backgrounds, including those who may be upset or face language barriers.
•
Thinking skills to analyze applications and inquiries, identify and resolve discrepancies, interpret and apply relevant legislation, policies, and procedures, and make informed decisions to meet tight legal and administrative deadlines.
•
Effective communication to respond to a wide range of inquiries—both oral and written—from ministries, legal professionals, and the public. You prepare and proofread official documents and correspondence with accuracy and clearly explain detailed legal and procedural information in both French and English.
•
Teamwork to provide translation and technical support to colleagues, offer guidance in Commissions-related tasks, and contribute to a collaborative environment by stepping in during absences or peak periods.
•
Computer proficiency to use Microsoft Office Suite, Outlook, and internal systems to produce and manage official documents, track client information, and process payments. You also operate standard office equipment to support daily operations.
