About the job
In this role you will:
• Support the day nursery licencing process.
• Provide a variety of administrative, clerical and financial support.
• Receive, log and track all complaints to ensure timely follow-ups.
• Perform clerical financial services including processing invoices and expense claims, reconciliation and financial reporting.
• Process child care licencing fees.
• Arrange and setup meetings and conferences.
• Coordinate incoming and outgoing correspondence.
• Maintain manual and electronic filing systems.
• Provide customer service and response to inquiries from the general public.
What you bring to the team
ADMINISTRATIVE AND FINANCIAL SKILLS:
• You have experience providing administrative and financial support.
• You have knowledge and experience of administrative and office procedures, practices and guidelines.
• You are able to develop and maintain electronic and manual filing systems.
• You have the ability to coordinate and assemble background materials; prepare correspondence, agendas and meeting materials.
• You are proficient with computers and all aspects of desktop software such as word processing, databases, email, internet, spreadsheet preparation and creating presentations.
• You have arithmetic skills to reconcile invoices, process licencing fees and expense claims.
COMMUNICATION SKILLS:
• You have written communication skills to type letters, reports and draft minutes and proofread for spelling and grammar.
• You have oral communication skills to provide customer service and respond to inquiries and redirect customers accordingly.
• You have interpersonal and team skills to participate in teleconferences and meetings.
ANALYTICAL AND PROBLEM SOLVING SKILLS:
• You have the ability to determine the best way to handle a task, situation or information request.
• You are able to identify and resolve discrepancies.
• You have the ability to exercise effective judgment related to challenging customers and circumstances.
ORGANIZATIONAL SKILLS:
• You have the ability to determine priorities, organize work and meet deadlines.
• You have the ability to make arrangements for travel, meetings and conferences.
• You are able to work independently in a fast paced environment with minimal supervision.
MANDATORY:
• You can type 45 words per minute.
• You are proficient with word processing.
• Proficiency in English and French at the advanced level oral and written.
