Are you bilingual, English and French? If so, we need your expertise to provide a range of reception and administrative support services for the Deputy Minister's Office in the Ministry of Finance.

About the job

In this position, you will:
- provide bilingual receptionist services and act as the first contact for the Ministry by responding to and directing incoming calls
- greet and direct visitors
- record detailed and accurate messages to relay to staff
- provide administrative support services including making arrangements for meetings, ordering and receiving supplies, updating data bases, and managing office assets
- prepare and proofread a variety of documents using a variety of software

What you bring to the team


Mandatory requirements

- proficiency in English as well as oral and written French at the advanced level

Administrative Expertise:

- You have experience in providing receptionist support
-You have organization skills to prioritize inquiries and work
- You have knowledge of government structure and programs to respond to or direct public inquiries
- You have experience with office procedures and practices to maintain records and documents, office supplies and confidentiality of information
- You have experience in making arrangements for meetings
- You are familiar with standard office equipment such as printers, photocopiers, scanners and facsimile

Communication, Customer Service and Interpersonal Skills:

- You have strong oral communication skills
- You have written communication skills to compose correspondence
- You have knowledge of customer service standards and techniques to provide reception services
- You demonstrate tact, diplomacy, and strong interpersonal skills when dealing with clients, the public, and different levels of Ministry staff

Reasoning and Problem-Solving skills:

- You are able to determine what information is appropriate to share, decide what matters are urgent, and when to escalate issues
- You demonstrate good judgement and discretion in dealing with difficult situations in a calm and logical manner
- You can organize and prioritize your own work

Computer Skills:

- You are proficient in using a variety of software prepare correspondence, update databases, and conduct searches
- You have good keyboarding skills
