About the job
You will:
• Provide administrative and operational support to unit managers and executive support to the Director
• Assist the Director in implementing the branch's business plans
• Oversee the daily functioning of the Branch office, develop and maintain administrative processes and procedures
• Coordinate the use of VOR contracts, coordinating with stakeholders to ensure contracts are fully documented and paid for
• Monitor the units and Branch's financial transactions, prepare budget and reports
What you bring to the team
Administrative and Financial Skills:
• You have knowledge of finance, office administration, records management, purchasing and human resources procedures for the purpose of providing administrative support
• You have demonstrated experience monitoring budget expenditures and preparing various reports on monthly operations
• You have demonstrated experience reconciling expenditures
• You have experience managing calendars, arranging travel and meetings
• You have experience analyzing expenditures to prepare budget and variance reports
Communication Skills:
• You have strong oral and written communication skills
• You have demonstrated experience in drafting various documentation and correspondence
• You have demonstrated interpersonal skills to discuss and coordinate various office activities with staff at varying levels
• You demonstrate tact and diplomacy when communicating sensitive and confidential information
Organizational, Analytical and Problem Solving Skills:
• You have the ability to work independently and within tight deadlines
• You can solve administrative issues using your strong reasoning skills
Computer Skills:
• You have knowledge of standard office software (e.g. word processing, spreadsheets, presentation), financial reporting systems (IFIS), human resources systems (WIN), administrative support software (SODO)
