Are you a highly organized, motivated and enthusiastic administrative professional who thrives on working in a fast paced environment? If so, consider this opportunity to provide strong financial, human resources, and administrative support to the Wildlife Research and Monitoring Section in the Science and Research Branch with the Ministry of Northern Development, Mines, Natural Resources and Forestry where your exceptional organizational skills and highly motivated nature make you the ideal candidate for this position.

What can I expect to do in this role?

In this position you will:
• Provide a full range of administrative support including human resources, financial and business management, contract management, and health and safety functions
• Perform financial tasks such as processing invoices, preparing and reviewing expense claims, and preparing and reviewing monthly and quarterly expenditure, encumbrance, and revenue reports on spreadsheets
• Prepare and process hiring documentation, including hiring and termination packages, and maintain confidential personnel files
• Organize and coordinate meetings, fleet, travel card, purchase card, building security and access requirements
• Maintain mandatory and field safety training records, account activity records, health and safety procedures and protocols
• Contribute to section/branch/division integration through active participation on administration teams

How do I qualify?

Financial Administration Skills:

• You have a thorough understanding of office administration policies, procedures, and practices to execute an array of administrative duties in support of the section's human resources, administrative, financial and contract management activities.
• You have the ability to track, verify and organize financial data
• You have experience preparing and processing journal entries and expense claims
• You possess excellent attention to detail and accuracy skills to ensure financial data and transactions are correct

Analytical and Evaluative Skills:

• You have experience to identify and resolve discrepancies in invoices, expenses, coding errors, and accounts receivable
• You have analytical and evaluative skills to determine how to respond to inquiries and you refer more complex inquiries to other staff as applicable, including matters of confidentiality

Communication and Interpersonal Skills:

• You exercise tact, discretion, good judgment and follow customer service standards to ensuring client satisfaction
• You have social and professional networking skills and can contribute towards building effective administration teams, both locally and virtually
• You have demonstrated oral communication and interpersonal skills to liaise with internal and external clients

Office Administration Skills:

• You have experience interpreting and applying administrative policies and guidelines
• You have proficient computer skills in order to maintain data, draft correspondence, track financial information and maintain schedules
• You can accurately maintain filing and record keeping systems
• You can coordinate travel and meeting logistics
• You have knowledge of office equipment and operating procedures

Organizational Skills:

• You have strong organizational skills to manage a complex administrative work load including human resources, records management and financial activities
• You have planning skills to arrange meetings, training sessions, seminars and workshops
• You have the ability to work independently to meet deadlines with minimum supervision
• You have demonstrated organizational skills to prioritize your workload
