What can I expect to do in this role?
As the Senior Inmate Records Clerk, you will:
• Verify the legality of admittance documents in accordance with court and ministry directives, policies, procedures and practices
• Complete complex sentence and fine calculations
• Compile and maintain inmate records, including using the offender tracking information system (OTIS)
• Provide information to justice officials, law enforcement agencies, offenders and the public
• Liaise with court and ministry officials to clarify discrepancies
• Provide technical training and leadership to unit staff
How do I qualify?
Specialized Knowledge and Experience:
• You have knowledge of offender records procedures and relevant legislation and regulations (e.g. Criminal Code of Canada, Ministry of Correctional Services Act, Freedom of Information and Protection of Privacy Act)
• You are able to interpret and apply legislation and policy in order to perform sentence calculations
• You have knowledge of general office processes and practices
Analytical, Reasoning and Problem Solving Skills:
• You can ensure accuracy of admissions and discharge documents
• You can identify and resolve discrepancies relating to offender records
• You can provide interpretation of legislation, guidance, and consultation to staff for complex cases
• You have mathematical skills to verify/reconcile offender sentences and fines
Strong Communication and Interpersonal Skills:
• You have demonstrated tact, diplomacy, and discretion
• You can provide technical advice, leadership and direction to staff
• You have written communication skills to prepare letters to offenders in response to questions of sentence calculation
Computer Skills:
• You have strong computer proficiency using computer software such as Microsoft Office
• You can to use computerized records management systems
